Welcome to BrightRoom (“we,” “our,” “us”). We created BrightRoom to help students write authentic essays and support educators through AI-assisted feedback tools. Your privacy is important to us. This Privacy Policy explains how we collect, use, and protect your information when you use our website, apps, and related services (collectively, the “Service”).

By using BrightRoom, you agree to this Policy. If you do not agree, please do not use the Service.

2. Information We Collect

We collect only what’s needed to provide and improve BrightRoom.

a. Information You Provide

  • Account Information – such as your name, email address, and role (student or educator).
  • Educational Content – essays, drafts, teacher feedback, rubrics, and related materials you create or upload.
  • Communications – messages you send us (e.g., support requests).

b. Information Collected Automatically

  • Usage Data – pages visited, time spent, browser type, and device information.
  • Analytics – we use tools such as Google Analytics and PostHog to understand usage trends and improve performance.
  • Cookies – small files used for login sessions and site performance. You can disable cookies through your browser settings.

c. Information from Connected Systems

If your school connects BrightRoom to Google Classroom or another learning management system, we may receive limited data such as student lists, class names, and assignments, solely for integration purposes.

3. How We Use Information

  • Provide, operate, and improve BrightRoom;
  • Deliver personalized essay feedback and teacher insights;
  • Support digital twins (AI-powered educator assistants trained only on their own materials);
  • Communicate with you about your account, updates, or support;
  • Ensure platform security and reliability; and
  • Comply with legal obligations.

We do not sell, rent, or trade your personal information.

4. AI and Data Use

BrightRoom uses artificial intelligence technology — including models and APIs provided by OpenAI — to assist with writing feedback and educator digital twins.

  • Student essays and feedback are never used to train public or third-party AI models.
  • Teacher materials (e.g., rubrics, prompts, or lesson examples) may be used to train their own digital twin only.
  • We may use anonymized or aggregated data to improve system performance or detect misuse.

We believe AI should enhance human teaching, not replace it.

5. How We Share Information

We share limited data with trusted service providers who help us operate BrightRoom, such as:

  • Supabase (database and authentication)
  • Railway (application hosting)
  • Loops.so (email communication)
  • OpenAI (AI feedback and natural language processing)
  • Google Analytics / PostHog (analytics and diagnostics)

All vendors are required to protect data and use it only to provide their contracted services.

6. Data Retention

We retain your information for as long as your account is active. If you close your account, we retain your data for up to one year to support potential reactivation or required recordkeeping, after which it is deleted unless we are legally required to retain it longer.

7. Student and Educator Privacy

BrightRoom is designed for educational use and respects student privacy. We comply with applicable U.S. student privacy principles (including FERPA considerations) and limit data collection to what’s necessary for educational purposes.

BrightRoom is not directed to children under 13 without school or teacher consent.

8. Data Security

We use technical and organizational measures to protect your information, including encryption in transit (HTTPS), role-based access controls, and secure vendor infrastructure. No system is perfectly secure, but we work continuously to improve our safeguards.

9. Your Choices and Rights

  • Access or correct your account information;
  • Request deletion of your account;
  • Opt out of analytics tracking (via browser settings);
